Student film casting checklist: what to settle before posting

A practical student production checklist for casting roles, stating unpaid terms, planning callbacks, and communicating with actors.

Before posting a student film casting call, settle the details that determine whether someone can participate. You need a workable schedule and an accurate description of the commitment, even if the project is small.

This checklist is a planning aid for a student team. It does not establish a school policy or replace the arrangements you make with performers. Use the student film casting page when you are ready to organize applications.

Confirm who is responsible for the production

Choose one contact who can answer questions about the call. Agree who can approve schedule changes and who will send callback invitations. If your institution requires a production review or approval, complete that process before making public commitments.

Use the institution's name accurately. A student project and an institution-backed production are different claims. Give applicants enough information to identify the team without implying an endorsement you do not have.

Write down the full time commitment

Check these items with the director and production lead:

  • Shoot dates, with provisional dates marked as provisional.
  • Rehearsals, costume fittings, or other attendance before filming.
  • The filming area and whether travel between locations is expected.
  • How the team will communicate changes.
  • When applicants should expect the next practical update.

If you only know a broad date range, explain that in the call. An actor may be able to hold a weekend but unable to keep an entire month free. You can ask about specific availability without asking someone to reserve indefinite time.

Separate payment from expenses and footage

Say whether the role is paid or unpaid. Then list what the production covers. A useful planning note might look like this:

Performance fee: [amount and payment timing, or unpaid]

Transport: [covered arrangement or applicant responsibility]

Meals: [what is provided]

Footage: [intended material, delivery estimate, and contact for updates]

These are fields to complete, not suggested terms. Do not promise footage by a date that depends on an editing schedule you have not discussed. Confirm the final arrangement with the selected performer.

Choose a proportionate audition request

Begin with the material you need to make the next decision. That might be a profile and existing performance sample. If you need a new scene, use a short excerpt and explain the recording instructions.

Tell applicants where to submit and give a deadline with a time zone. Avoid collecting the same material through several chat threads because the team has not agreed on a route.

Agree how the team will review

In ShortCine, give each role a description and add necessary role-specific questions. The review workflow supports ratings, comments, labels, and statuses. Decide who will review and what a shortlist status means before using it.

Ask reviewers to leave an observation and a next action. For example: the scene is clear; confirm availability for the second shoot day. That helps you prepare a useful callback instead of repeating the first audition.

What should you tell actors after selection?

Confirm the role, dates, location, and terms directly. Keep a reliable contact available as the production develops. If you close the call, make sure the public page reflects the current situation.

The short film brief example can help you write the announcement, and the casting shortlist guide covers the review stage.
